Products & stock
Add your products, keep counts right, and know how much you have — per shop and per shelf.
Everything you sell lives in your catalogue (Products), and how much of it you have on hand lives in Stock. This page shows you how to add products, keep the counts honest, and fix them when they slip.
Everything here is under Goods in the menu — Products, Categories, and Stock.
Buying stock in? New stock usually arrives when you record a purchase from a supplier — see Purchases & suppliers. The Add stock button here is for quick, one-off top-ups.
Add a product
Go to Goods → Products and tap Add product. Fill in the name, price, and the other details, and save.
The form fits your shop. Because you picked a shop type when you set up, Ezvento shows only the fields you actually need:
- Clothing / footwear — variants for size and colour (more on these below).
- Pharmacy / grocery — batch number and expiry date, so you can watch what's going off.
- Electronics — serial numbers, to track individual pieces.
- Jewellery — a weight and purity block (grams and carat/hallmark).
Price and margin
Three prices are required on every product:
- MRP — the printed maximum price.
- Cost price — what you pay for it.
- Selling price — what you charge.
As you type, Ezvento shows your margin live — the profit between cost and selling price — so you can see straight away whether the price makes sense.
You don't need to make up an item code. The SKU (item code) is generated for you.
Deleting a product doesn't erase it — it hides it. When you "delete" a product, Ezvento deactivates it: it drops out of your billing screen, but every old bill that used it still reads correctly. Nothing in your past sales breaks.
Variants (size, colour, and the like)
For clothing and similar shops, one product (say, a shirt) can have many variants — one per size-and-colour combination. Each variant has its own:
- Name, code, and barcode
- Attributes — free text like
Color: Red, Size: L - Price and its own photos
That way "Red, L" and "Blue, M" are separate items you can scan, price, and count on their own.
Honest gotcha: editing an existing variant through the product edit form doesn't always save through cleanly. If you change a variant and the change doesn't stick, open the variant again and check it — re-enter it if needed.
HSN code and GST
For GST bills, each product can carry an HSN code (the government's product code) and a GST rate. You have two easy ways to fill it in:
- Set it once on the category. If you put an HSN and default GST rate on a category (see below), every product in that category inherits them automatically — you don't retype it per product.
- Look it up while adding stock. The quick Add stock form has a live HSN lookup, so you can find the right code as you go.
See GST & tax for how HSN and rates flow onto your bills and returns.
Add many products at once (bulk import)
If you're starting out with a long list, you don't have to type each one. On the Products page, use bulk import: upload a CSV or Excel file and Ezvento adds them all, matching rows to existing products by item code.
Before you import, know the limits:
- Rows with a category Ezvento doesn't recognise are skipped — create those categories first (or fix the spelling) so nothing gets left out.
- Import only adds the products. It does not set your stock counts and it does not create variants — add those separately afterwards.
Two rough edges on the Products page to know about:
- The Export button only saves the products currently shown on the screen — it's a quick grab, not a full backup of your whole catalogue.
- The count numbers at the top of the list count this page only, not every product you have.
Categories
Goods → Categories lets you group products — Grocery, Snacks, Cold drinks, and so on. Beyond tidiness, categories save you real work:
- Set an HSN code and a default GST rate on a category, and every product inside it fills those in automatically.
You can't delete a category that's still in use. If a category still has products or sub-categories under it, Ezvento won't let you remove it — move or clear those first.
Stock (how much you have)
Goods → Stock is your live inventory. It shows how much of each item you have on hand — broken down per shop and per storage location (a godown, a back room, a second counter).
- Weight items (grocery, jewellery) show 3 decimal places, so 1.250 kg reads exactly.
- Filters let you jump to what needs attention — low stock, out of stock, or near-expiry items.
Add stock and Adjust stock
Two buttons do the work:
- Add stock — a quick top-up when goods come in.
- Adjust stock — correct a count. An adjustment can add, remove, or set the count to an exact number.
A safety catch on setting counts: if you set a count to a number that would make stock go negative, Ezvento needs a special permission for that. This is on purpose — it guards against typing mistakes and quietly writing off missing goods (shrinkage or theft). A cashier usually can't do it; the owner or a trusted manager can.
Honest note — low stock is a nudge, not an alarm. The low-stock flag and filter on this screen tell you what to re-order, but this screen does not send you a push notification. (An owner can get a low-stock line in the daily reminder email — turn it on in Settings → Notifications.)
Honest note — "low stock" isn't one exact figure. Different screens draw the low-stock line a little differently. Treat the flag as "time to re-order this" — not as an exact science.
Stock exceptions (fixing negative stock)
When you make a sale offline and the goods have already left the shop, the count can slip below zero — Ezvento lets that sale through rather than blocking a real customer, and files the problem for later.
Those cases are listed under Goods → Stock → Exceptions. Go there when things settle down, check each one against what's actually on your shelf, and put the real count right (usually with Adjust stock). Marking an exception Reconciled clears the flag — but note it only clears the flag; you still fix the actual count yourself.
See Working offline for how offline sales sync back up, and Multiple shops & states if you run more than one shop.
Moving stock between shops (transfers)
If you run more than one shop, you can transfer stock from one to another. It works as a send / receive flow — one shop sends, the other confirms it received — so nothing goes missing in between. You'll find transfers in the Warehouse area. See Multiple shops & states.
Moving stock between locations inside one shop (counter to godown, say) is possible, but there isn't a dedicated screen for it yet. For now, use Adjust stock at each location to reflect the move.
